Understanding IMAP vs. POP3: Which should you use?

When setting up your email, youll be asked to choose between IMAP and POP3. While both protocols allow you to receive mail, they handle your data very differently.

IMAP (Internet Message Access Protocol) Recommended for 2026

IMAP acts as a real-time mirror of the server. When you read, delete, or move an email into a folder on your iPhone, that change is instantly reflected on your laptop and in Webmail.

  • Pros: Perfect for multiple devices; server-side backups; folders stay synced.

  • Cons: Consumes server storage over time (you may need to upgrade your hosting plan if your mailbox grows to 20GB+).

POP3 (Post Office Protocol)

POP3 is a "download and delete" model. It pulls the email from the server and stores it locally on one specific device.

  • Pros: Saves server space; allows for total offline management of large archives.

  • Cons: Very difficult to sync across multiple devices; if your computer crashes and you don't have a local backup, your emails are gone forever.

Nixzoehost Verdict: Use IMAP unless you have a specific technical reason to store mail only on one machine.
